Alumni Board Meeting, W. B. George Building, June 7, 2010

Meeting called to order 6:40PM

Present: Cathy Baldwin, Sharon Blanchard, Norm Blodgett, Ron Burgess, Tony Desnoo, Doug Dulmage, Liz Forbes, Stephanie Hill-Nicholls, Sue Johnston, Isabel Kinnear, Kim Link, Dave Morrow, President of the Foundation, Hans Vink.

Absent with regrets: Mac Johnston.

Amendments to the minutes of April 19, 2010

We have raised $xxx,xxx for the Dairy Barn. The campaign goal was lowered to a minimum of $xxx,xxx. The tenders went out and are now closed. Award went to Steven Vander Wielen. The board voted by e-mail to purchase 36 Caps and 24 t-shirts. Approved by the e-mail vote. Motion by Stephanie Hill-Nicholls to approve the minutes as amended. Seconded by Isabel Kinnear. Carried.

Business arising from the minutes:

We are committed to $xxxx.xx for the rental of the rinks for the Royal hockey game. Clean up was not paid for. There was a shortfall in the money taken in for the tournament of $xxx.xx. Motion by Norm Blodgett that a proper statement of income and disbursements must come forward after the tournament. Seconded by Kim Link. Carried.

Further discussion to occur in September as well as develop a penalty for no shows and two members of Alumni Board must be present for the day. Must have a cheque by Jan. 20, 2011.

The money from the dormant account with the Bank of Canada has been deposited.

What is happening re the tree for Ellen?

Treasurer’s Report:

Balance April 30, 2010 was good. Kim Link and Doug Dulmage are signing the documents to deposit the MacKenzie Fund at Edward Jones & Associates. A suggestion was made by Tony Desnoo that the Board develop an Investment Policy with a year’s expenses as back up. A working group of Doug Dulmage, Ron Burgess, and Hans Vink is to be set up.

Motion: by Norm Blodgett that Doug, Ron, and Hans will review all investments and come up with a plan. Seconded by Isabel Kinnear. Carried

Motion by Ron Burgess to receive the Treasurers Report. Seconded by Stephanie Hill-Nicholls. Carried

Tony introduced Dave Morrow the new Foundation President.

In the 2 months since his election he has made 8 trips to Kemptville. We need to enjoy what we are doing and the projects that we are working on he told us. He wants to see a closeness between the two groups as we both work so closely with the college. The foundation is in its 11th year. Next fundraiser is the Harvest Fest in the last Saturday in October.

The Dairy Barn Fund raiser was a great success after a slow start. A wine & cheese was held last Tuesday to thank all.

The Alumni and the Foundation have been involved in the selection of the new Director.

Norm Blodgett and Mac Johnston are on the Boards of the Alumni and the Foundation so will report to each.

Tony did not meet with Renee Bergeron.

Working Groups:

Alumni Weekend

The mail outs are completed for the honour years. We need a plan to get updates on email information. The golf game will be at a new course this year.

Historical

The display cases have been updated. The plaques are not on the Director’s pictures.

Website

The complete reunion weekend forms are on the site. Sue would like photos to include. At present there is no info for how to order a vest or a hat. Will put on.

Events

Graduation was a great success. Every thing went smoothly. A suggestion was made to hold a Board meeting after graduation. International Plowing Match is in St. Thomas in Elgin County Sept 21 – 25.

Fund Raising

Dairy Barn Fund raising was a success. Many thanks to Mac Johnston. The Alumni surpassed their goal. Money is still coming in. A letter of thank you should be sent to all from the Alumni and Tony Desnoo will draft a letter. Tony spoke to Rene Van Acker, OAC associate dean of external relations He is very happy that it was a success. There has been no new builds on campus for thirty years.

Awards

The senior awards received a vest and $xxx.xx. The recipients were Jan Antuma, Shauna McKenna, and Alexander Johnson

Board Issues

We need names for the Board to be brought forward at AGM

The plowing match next year will be at the farm of Judy Kirby (Barton) ’69. Since Isabel Kinnear is in charge of sponsorship for the Queen of the Furrow. She would like the Alumni to provide a gift for each queen. Info from Alumni and College could go in the bag. Since Junior plowman competition also involves young people, it would be nice to present them with a gift as well. She suggested a picture frame which could be presented to them at the Plowing Match by the President. The approximate cost would be $x.xx. She will bring it forward in September.

Could a few buildings be opened during alumni weekend to have a tour?

Liz would like anyone who could help her July 1 for the Canada Day Celebrations at the campus to call her.
